HR & Admin Executive
The role
We are seeking a proactive and detail-oriented HR & Admin Executive to take ownership of key HR operational processes and office administration. This role plays a vital part in ensuring seamless HR services across the employee lifecycle — from onboarding to offboarding, payroll, insurance, PIT, and labor contract management — while supporting the implementation of policies and maintaining a productive work environment. The ideal candidate is proactive, detail-oriented, and has solid knowledge of Vietnam labor law and HR best practices.
Responsibilities
1. HR Operations & Administration
- Perform daily HR operational tasks to ensure all HR functions run smoothly and efficiently.
- Coordinate end-to-end onboarding and offboarding processes to provide a positive experience for new hires and departing employees.
- Maintain accurate personnel records and ensure legal compliance in all documentation.
2. Labor Contract Management
Manage the full process of labor contract administration, including drafting, signing, renewal, and record-keeping in line with Vietnamese labor law and internal policies.3. Performance Management

4. Personal Income Tax (PIT) & Tax Dependents
- Ensure compliance with PIT regulations, including monthly declarations and year-end finalizations.
- Handle the registration and adjustment of tax dependents.
- Provide guidance to employees on tax-related matters.
5. Social Insurance
Administer social, health, and unemployment insurance processes: employee registration, updates, benefit claims, and monthly reconciliation with government authorities.
6. Personal Health Insurance
Oversee the full cycle of the company-sponsored health insurance package, including: Sourcing and negotiating with insurance providers, annual contract renewal and budget tracking, employee enrollment and benefit claims, employee support and issue resolution.
7. Payroll Administration
- Manage end-to-end payroll operations: salary calculations, overtime, allowances, deductions, and PIT.
- Ensure accuracy, confidentiality, and compliance with labor laws and company policies.
- Coordinate with Finance for payroll disbursement and reporting.
8. Policy & Procedure Updates
- Review and update HR policies, guidelines, and procedures regularly.
- Ensure alignment with labor regulations and internal standards.
- Communicate updates effectively across the company.
9. Trade Union Collaboration
Work with the Trade Union to organize company events, staff welfare programs, and employee engagement initiatives.
10. Administrative Support (20%)
- Process monthly payments for recurring office expenses (e.g., rent, internet, utilities).
- Maintain office cleanliness, organization, and equipment functionality.
- Track guest in-out records and prepare related reports.
- Coordinate general office logistics and support daily operations.
11. Other tasks as assigned by Manager
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or related field
- At least 3-4 years of experience in HR General or C&B roles
- Strong knowledge of Vietnamese labor law, social insurance, and personal income tax regulations
- Hands-on experience with payroll systems and HRIS tools
- Excellent attention to detail, organizational, and interpersonal skills
- Demonstrates a high level of integrity and discretion when handling confidential information
- Strong critical thinking and problem-solving abilities
- English proficiency in both written and spoken is a must.
- Proficient in MS Office (especially Excel).
